ESTABLISH A “YEAR BEGIN” CHECKLIST

A great way to ensure things are never overlooked is by establishing a “year begin check list”. Below you will find my suggested list, but keep in mind to review your documents to ensure there aren’t special requirements each year, in addition to the standard items.

  1. Ensure each board member is certified by attending one of Eric’s certification seminars and the certificates are part of the association records.

  2. Register with the Secretary of State

  3. File your 720.3032 notice so your documents are preserved. Document each years renewal.

  4. Ensure your registered agent information is updated.

  5. Obtain bids for your annual financial audit or review, whichever applies.

  6. Obtain a copy of each owner’s insurance certificate, if allowed.

  7. Send each owner and or tenant a copy of the Rules and Regulations, as well as the fine schedule, to refresh their memory.

  8. Meet with your management team to establish the goal and objectives for the upcoming year.

  9. Organize prior year records and get them ready for the audit and for storage.

  10. Establish the regularly scheduled board meeting (i.e., 3rd Thursday of each month). By doing so, this allows everyone to preplan schedules.

  11. For Condos, pay your annual fee to the DPBR. Sorry HOA’s.
